  • The Outstanding Invoices section shows all invoices that have been paid or have an outstanding invoice. In this section payments can be logged to invoices and the balance of each invoice can be viewed. Invoices can also be edited here for any last minute changes or requests from the client.

  • Invoice can be distributed by email, fax or mail. The email option is the recommended method for distributing invoices to clients. Once a contact, with an email address, has been created for a site, they will be eligible to receive the invoice via email. The distribution method and contacts can be selected and modified during process of creating an invoice. This section looks at how the distribution method can be verified and modified as invoices are created.

  • The billing in back office is driven by the contracts created for clients. The details in the contract tell the system what services will be provide, how the client will be billed and how frequently the client will be billed. All of this information in available in the billing module and can be edited as needed. Each contract also keeps a history of the invoices that have been created for it.

    How to Use Billing Analytics

    Billing Analytics compiles data from the billing module to provide insight into the profitability of services and clients. The reports in billing analytics include a number of preset reports, which can be modified to provide custom view of the data. Reports can also be exported and printed for clients.

    How to Prepare / Edit an Invoice

    The system will automatically generate invoices based on the services provided to the client. Mobile jobs, hours logged and recurrent items provide the rules for what will be included in the invoice. This will provide a draft of the invoice that needs to be validated before it can be prepared. Once the invoice has been cleared of validation errors, it can be created and distributed to the client.

  • Based on the services provided to the client, invoices will automatically generate on a regular cycle. The system uses information from the contract, jobs completed by officers and hours to validate whether the work performed matches the agreement from the client's contract. The validation process acts as a filter to capture any potential inaccuracies in the invoices generated from contracts.

    TrackTik will automatically create invoices. Settings elsewhere in the system feed the billing module with information about what is included in invoices and when they should be created. Since invoice creation is automated, the primary duty of billing becomes validating and distributing the invoices.

    Compliances / Skills provide a way to track certifications and permits. Any of the items added here can also be applied to a position (post) as a requirement for officers to work the post. Additionally this section will provide a list of certifications and permits that are nearing expiration or have expired.

    Payroll Concepts

    Payroll is auto-generated based on TrackTik System payroll cycle and employee pay settings. For both dedicated guarding and mobile patrols, payroll is generated based on the approved shifts. Settings including the Payroll Schedule, are configured under the System’s settings. Other settings that impact payroll include Holiday Groups, Overtime Rules and Employee pay rates.
