How to Use Visitor Management on Guard Tour Mobile

The Guard Tour mobile application supports visitor management as well. This section shows how the mobile application can be used to check-in/out visitors, view active visitors and some other functionality such as assigning regular visitors an NFC key chain with their profile information.

The Visitor Log icon will provide a number of options for managing visitors and residents from the mobile application. Click on the Visitor Log icon to access the options on the mobile application.

  1. View Current Visitors: Use this option to see a list of visitors that are currently checked-in to the site. View the list of visitors or access a checked-in visitor to check them out.
  2. Log-In a Visitor: Check-in a new visitor to the site.
  3. Scan Drivers License (US & Canada): The scanner will read PDF417 barcodes. This is the barcode on most US and Canadian drivers licenses. The scanner will pull information from the license such as the visitor's name and home address.
  4. Search Visitors: Search the history of visitors that have been to the site. View visitor profiles.
  5. Reload Visitor Settings: Fresh the list of visitors and residents. If any changes have occurred to the list, visitor types or check-in/out procedures, this will refresh the device to implement those changes.

The "Log-In a Visitor" option allows you to check visitors in via the mobile application. After selecting the "Visitor Log" icon, follow the steps below to check-in a new visitor.

  1. Click on the "Log-In a Visitor" option from the pop-up menu.
  2. Select the appropriate visitor type from the options available.
  3. The fields in the check-in form may differ depending on the selected visitor type. Complete the fields and click on the [Send] button to complete the visitor check-in.
  4. A pop-up notification will confirm that the visitor was successfully checked-in.

Once the visitor has been checked-in, they will appear in the list of current visitors at the site.

To check-out a current visitor, access the list of current site visitors. Any of the visitors shown can then be checked-out of the site. To check-out a current visitor follow the steps below.

  1. Click on the "View Current Visitors" menu option.
  2. Select the current visitor by clicking on their tile.
  3. The pop-up menu will provide the option to check-out the visitor. Click on the "Check Out This Visitor" option.
  4. Once the visitor has been checked-out a pop-up notification will appear on the screen. Click on the [OK] button to acknowledge and remove the notification.

The Search Visitors option can also be used to locate a visitor and check them in/out. To do this, begin by clicking on the "Visitor Log" icon from the application home screen. Then follow the steps below.

  1. Click on the "Search Visitors" option.
  2. Search and locate the visitor. Click on their name.
  3. Select the desired action - Check Out/In.
  4. The application will perform the action and display a confirmation notification.
View Visitors Currently Checked-In

The list of visitors currently checked-in to the property is available through the "View Current Visitors" menu option. To view the list of visitors currently checked-in to the site follow the steps below.

  1. Click on the "Visitor Log" icon from the mobile home screen.
  2. Select the "View Current Visitors" option from the pop-up menu.
  3. The list shown will display all visitors currently checked-in to the site. You can also use the Type-To-Search field to locate a specific visitor.

Information about a visitor is stored in the visitor's profile. Follow the steps below to access a visitor profile from the mobile application.

  1. From the Visitor Log menu, select the "Search Visitors" option.
  2. Begin typing the name of the resident in the search bar. Matching names will begin to populate the list below.
  3. Locate the desired visitor and click on their name.
  4. From the pop-up menu click on the "View Profile" option. This will display the visitor's profile and information about the visitor.

The Scan Drivers License option will read the PDF 417 barcode found on most US and Canadian drivers licenses. The mobile application will extract the information stored in the barcode and display it on the screen. This can be an efficient way to quickly identify a visitor. To scan a visitor's drivers license click on the "Scan Drivers License" option from the Visitor Log icon menu. Focus the device over the back of the drivers license aiming the red crosshairs over the center of the barcode. Once the device is able to read the barcode, the information will display on the screen.

Configure NFC Keychain

NFC products can be assigned to visitors. Configuring an NFC keychain, card or token will allow you to automatically identify the visitor the next time they arrive by simply scanning the NFC item. Complete the steps below to configuration an NFC item for a frequent visitor.

  1. From the Visitor Log menu, select the "Search Visitors" option.
  2. Begin typing the name of the resident in the search bar. Matching names will begin to populate the list below. Locate the desired visitor and click on their name.
  3. Click on the "Configure NFC Chip" option. Place the device over the NFC item until the device provides a confirmation notification that the item was "written."

Note that only certain NFC standards are compatible with this option. Make sure you NFC item is an NTAG203 or 213 product.

Reload Visitor & Resident Data
Reload Visitor & Resident Data

Reload Visitor Settings forces the device to reload data associated with visitor and resident management. When administrators change the configuration of visitor types, check-in/out process or make modifications to the visitor/resident database, this option will force the phone to refresh and show the current data.
