How to Manage Compliances

Compliances / Skills provide a way to track certifications and permits. Any of the items added here can also be applied to a position (post) as a requirement for officers to work the post. Additionally this section will provide a list of certifications and permits that are nearing expiration or have expired.

How to Create a New Skill (Compliance Requirement)

New items can be created for tracking compliances. The step below outline the process to create a new certification or permit. Note that this is merely creating the form to capture the details in the officer's profile. Adding fields in this section ensures those fields are available when updating an officer's status for a specific item.

  1. From the Live Dashboard, click on the "HR & Payroll" tab.
  2. In the side menu, select the "Skils Management" option.
  3. Click on the [+ New Attribute / Skill] button.
  4. Complete the fields in the pop-up window. Each checkbox will prompt a field to name the additional field in the form for the skill.
  • Category: Use the drop-down menu to select which type of certification or permit.
  • Description: Provide a name for the new item.
  • Show Date Field: If this item needs to capture the expiration date, click on the the checkbox. In some cases, such as a language, it is no necessary to capture a date when assigning the item to an officer.
  • Show Text Field: If additional information should be captured for the item, click on the checkbox here. This can be used to capture a License Number.
  • Show Text Field (Other): This is an additional text field, if needed.
  1. Once complete, click on the [Save] buttton. These items can be edited at any time by clicking on the [Edit] button.

Complete the steps below to assign a certification or permit to officers.

  1. From the Live Dashboard, click on the "HR & Payroll" tab.
  2. Select the "Skills Management" option from the side menu.
  3. Click on the [Assign Employees] button.
  4. Locate the employee and click on the [Set] button next to their name.
  5. Complete the information in the pop-up form (form created in Create a New Skill) and click on the [Save] button.

Repeat these steps for each employee holding the certification / permit.

How to Edit / Update Officer Skills

Follow these steps to edit or update the information for a skill held by an employee.

  1. From the Live Dashboard, click on the "HR & Payroll" tab.
  2. Select the "Skills Management" option from the side menu.
  3. Click on the [Employees] button to access the list of employees holding the skill.
  4. Locate the desired employee and click on the [Edit] button.
  5. Edit the information in the pop-form as needed. Once complete, click on the [Save] button.

How to View Expiring Skills

How to View Expiring Skills

To view the list of expiring skills:

  1. Click on the "HR & Payroll" tab from the Live Dashboard.
  2. From the side menu, select the "Expiring Certifications" option. This will provide a list of all skills that will expire soon or have already expired.
  3. Click on the [Edit] or [Delete] button to update the status of the skill.

How to Set Days Before a Skill is "Expiring"

By default any skills expiring in the next 30 days will be listed here. This parameter can be set in the general settings of the dashboard. To set the parameter for expiring skills, complete the steps below.

  1. Click on the "Settings" tile to access the complete list of settings for the dashboard.
  2. From the settings list, click on the "General" option.
  3. Locate the "Expiring Skills Warning (in days)" item. Update the number of days as needed, then scroll down and click on the [Save] button to save the change.
