Track and Log Report Viewers

  • From your portal hover over Settings and choose Roles / Permissions. The Roles screen appears.
  • Click Admin Portal Roles → Administrator and locate Patrol in the list. A new permission called “Viewed By” has been added.
  • Check this permission to display the Tracking Log at the report level.

  • To view the logs go to your dashboard and click the Operation Reports tab.
  • On the left side, under Logs and Activities, click Reports.
  • For the report you want to display, click the View button at the right of the row. The report details are displayed on a new screen.
  • On the right side of the screen, click the Viewed By tab to display who has viewed this report. Each entry shows:
    • Who viewed this report (user name)
    • When the user viewed this report (date and time format)

Set Confidential Fields Permissions

You can now set fields in a patrol report to be confidential, as well as set who can view these fields.

Note:  When a report is generated that contains confidential fields, those will fields also be marked as Confidential in the report.

  • In your portal go to Settings → Roles & Permissions.
  • Click Admin Portal Roles → Administrator. The list of settings is displayed.
  • Locate the Patrol folder and click to expand it. Two new permissions have been added for confidential fields:
    • Set Confidential Fields: Allows users to set report fields to Confidential in a report
    • View Confidential Fields: Allows users to display confidential fields (if any)
  • Select these permissions to be able to set up confidential fields and view them afterwards.

Set Report Fields as Confidential

  • In your portal go to Settings → Report Templates. The list of report templates is displayed.
  • From the list, locate the report you want to change, and at the right side of the row click Field Setup. The report editing screen opens.
  • Click Add a field.
  • From the drop down choose field type. A new check box called Confidential Field has been added for the following three field types: 
    • Text Box (Regular)
    • Comment Box
    • Number

  • Select the check box next to Confidential Field and then click Save Field. The report template is saved. With this option enabled, this field will only be viewed by users who have View Confidential Fields permission enabled.
How Confidential Fields Are Displayed

If a user has the authorization to view confidential fields, the user will be able to see the information normally.

If a user does not have the authorization to view confidential fields, the user will see Confidential as shown below.

New Report Field Type (Bus Diagram)

A new field type has been added called Draw: Bus. This can be used for incidents that occur on public transportation vehicles.

  • To add this field in a report, follow Steps 1 - 3 in Set Report Fields as Confidential and then from the drop down list choose Draw: Bus as the field type.

Filter By Incident Type For Reports

A new filter field has been added to allow users to filter by incident type.

  • In your portal go to your Dashboard and choose Operation Reports.
  • Under Logs & Activities choose Reports and the list reports is displayed. You will see a new filter named Filter by Incident Type

When you begin to type, the field automatically suggests available options as shown below:

Message Board Enhancements

Regional Message Board

  • Any messages posted will not be visible in the Client Portal.
  • Any messages posted will not be visible for a user with an On-Site License or Device License for a Zone or Site if the message was posted in a Region that is lower than the hierarchy of the Main Region of the user.

  • The regional message board header comes from the company name.

Zone Message Board

  • Messages posted with Push to Zone Sites will not be visible in the Message Board for the Client Portal.
  • Messages posted with Push to Zone Sites will not push down to Sub-Zones
  • Messages posted will be visible for the user that has access to an On-Site License or Device License for the Zone.
  • Messages posted will be visible for the user that has access to an On-Site Licence, Device License for the Zone or a Site License for a Site in the Zone if the message was posted with Push to Zone Sites.

Site Message Board

  • Messages posted at the Site will be visible for the user that has access to an On-Site License, Zone License that contains that Site when signing-in to that Site and Site License.
  • Messages posted will be visible to the Client Portal that has access to that Site.
  • If the Site is a Sub-Site of a Multi-Site the Client Portal if the Client has access to the Client Portal at the Multi-Site will see the Site Specific message in the Multi-Site and in the Site Specific view.

Multi-Site Message Board

  • Messages posted at the Multi-Site will be visible for the user that has access to an On-Site License, Zone License that contains that Site when signing-in to that Site and Site License of the Multi-Site.
  • Messages posted at the Multi-Site with the Post to Sub-Sites option will be visible for the user that has access to an On-Site License, Zone License that contains that Site when signing-in to that Site and Site License at the Multi-Site or the Sub-Sites.
  • Messages posted will be visible to the Client Portal for the Client if they have access to the Multi-Site. The Client Portal will show the messages from the Multi-Site and the Sub-Sites.
  • If the Site is a Sub-Site of a Multi-Site and the Client has access to the Client Portal at the Multi-Site will see the Site Specific message in the Multi-Site and in the Site Specific view.

A new set of permissions has been added for the message board features.
